Welcome to Webelos Resident Camp for 2008! We are eager to have you and your Webelos in camp this summer at Boxwell Scout Reservation. Boxwell is a wonderful facility for young boys to have a great camping experience. Your Webelos' camping experience will be a fun, informative, and safe experience that will keep boys excited about Scouting.

Although we are requesting that each Webelos Scout register individually, please keep in mind Scouting's rule of two-deep leadership. However, the ratio of one adult for each four Scouts will allow two adults to bring an eight-boy den. Please note the fee schedule for adults shown below.

We hope that you will be able to join your son or boys during their session as a participating leader or parent. There will be ample time throughout the week for your involvement. If you cannot attend the session, we cordially invite you to come to camp on Wednesday evening to join your Webelos and our camp staff for dinner.

This guide has been developed to assist you bringing as many of your Webelos Scouts to camp as possible. It should prepare you and your Scouts for the beginning of many camping memories. As you complete your preparations for camp, please do not hesitate to let us know how we may be of service to you. Webelos Activity Program

1st Year Webelos

1st year Webelos will be given the opportunity to work on up to 4 activity badges as well as enjoy all of the usual fun of swimming, archery, and BB's. Please sign the boys up on the registration form included with your payment. Activity badges to choose from will be (based on instructor availability and class size participation):

  5. Naturalist
  6. Outdoorsman
  7. Handyman
  8. Scientist
  9. Citizen
  10. Readyman

Please sign up for four primary activity badges and two alternate activity badges. If they have already earned the activity awards being offered, or just feel like doing something different, they can sign up to do the Boy Scout Skills Round Robin Sessions. Boys will have to choose to do either the activity badges or Boy Scout Skills; they will not be able to do both and will not be able to switch back and forth.

2nd Year Webelos

2nd year Webelos have the option to choose to participate in the Boy Scout Skills Round Robin Program. There will be four 2 hour sessions offered.

  1. Session 1 will cover Fire Starting and Cooking
  2. Session 2 will cover 1st Aid
  3. Session 3 will cover Knots and Lashings
  4. Session 4 will cover Land Navigation skills

On Thursday morning Scouts will have an opportunity to participate in the Webelos Activity Competition (the "WAC"). Please note, when you sign up for these sessions you are signing up for all the classes listed and will not be able to take any of the activity badges listed under the 1st year Webelos program.

These skills will be led by Boy Scouts with Boy Scouting fun in mind for your Webelos. There will also be games and competitions to challenge and entertain them, as well as swimming and shooting. It's a great new program you don't want your boys to miss!

Swimming at Webelos Camp

One of the major challenges for the staff of Webelos Camp is the swim classification process. As you may know, or have heard, this process causes a major backup on check-in day. We are going to allow the Cubmaster or Webelos Leader to conduct a pre-camp classification following the guidelines provided below. Also, a Webelos den may attend a swim classification with the troop with which they are associated.

Swim Classification Procedures

The swim classification of individuals participating in a Boy Scouts of America activity is a key element in our Safe Swim Defense and Safety Afloat. The swim classification tests should be renewed annually, preferably at the beginning of each outdoor season. Traditionally, the swim classification test has only been conducted at a long-term summer camp. However, there is no restriction that this be the only place the test is conducted. It may be more useful to conduct the swim classification prior to arrival at summer camp.

All persons participating in BSA aquatics are classified according to swimming ability. The classification tests and test procedures have been developed and structured to demonstrate a skill level consistent with the circumstances in which the individual will be in the water. The Swimmer's test demonstrates the minimum level of swimming ability for recreational and instructional activity in a confined body of water with a maximum 12-foot depth and with shallow water footing or a pool or pier edge always within 25 feet of the swimming.

The various components of each test evaluate the several skills essential to the minimum level of swimming ability. Each step of the test is important and should be followed as listed below:

SWIMMER'S TEST
Jump feet first into water over the head in depth, level off, and begin swimming. Swim 75 yards in a strong manner using one or more of the following strokes: side stroke, breast stroke, trudgen or crawl; then swim 25 yards using an easy resting back stroke. The 100 yards must be swam continuously and include at least one sharp turn. After completing the swim, rest by floating.
BEGINNER'S TEST
Jump feet first into water over the head in depth, level off, swim 25 feet on the surface, stop, turn sharply, resume swimming as before, and return to starting place.

Once the swim classification has been conducted, complete the Unit Swim Classification Record and bring it to camp.

If you are unable to conduct a pre-camp swim classification, don't hesitate to come to camp. We will conduct swim classification at camp and all Webelos will have the opportunity to take Aquanaut or participate in free swim.

Swim checks can be conducted by anyone certified as an Aquatics Instructor-Boy Scouts of America, Aquatics Supervisor-Boy Scouts of America Lifeguard-BSA, or American Red Cross Water Safety Instructor.

Webelos Resident Camp Frequently Asked Questions

How do we register?
Each Webelos Scout registers on an individual application for Webelos Resident Camp. Complete the Webelos Resident Application which was mailed to all registered Webelos Scouts and can also be found on-line at www.mtcbsa.org.
Can my Cub Scout attend Webelos Resident Camp?
There will be no program activities offered for Cub Scouts at Webelos Resident Camp. Cub Scouts should attend Cub Resident Camp.
Does an adult have to attend with my Scout?
Yes. The preferred leadership ratio is 1 to 1. Since this cannot always be the case, a 1 to 2 deep leadership is required.A 1 to 4 (adult to Scout) ratio is the minimum acceptable ratio. Each application MUST list the name of the adult attending with the Scout whether they are a parent/guardian or den leader. Leadership is required.
Do leaders and adults go free?
No, each leader and/or adult pays $25.00.
How do I know when the rest of my Scout pack is going?
Contact your Den leader, Cubmaster, and/or your pack's Camping Coordinator.
Can we still register as a pack/den?
No, each Webelos Scout needs to register using the 2008 Webelos Resident Camp Application. Please remember that an application should only be completed for a Webelos Scout and not for an adult or sibling. There is a space on each application to note the names of the adults attending with your Webelos Scout. There is also a space on each application to note how many siblings will be attending, if any. Names of siblings are not necessary.
How do I know you have gotten our application? Did we get into the session we requested?
A confirmation letter and information packet will be sent to the parent/guardian of the Scout, according to the address on the individual registration form.
I missed the deadline; can I fax my paperwork and mail my check?
No. Faxing forms will not be considered meeting the deadline. Forms and payment must arrive together at the Scout Office no later than the deadline date. If forms and payment are postmarked by or on the deadline date, they will have met the deadline.
Can my non-Scout children attend?
Yes, each sibling is $25.00. However, there is no special program available for them.
How do I know what activities to sign the boys up for?
1st Year Webelos will be given the opportunity during their program time to work on up to 4 activity badges (to be announced at the Leader Planning Meeting), as well as enjoy all of the usual fun of swimming, archery, and BB’s.
2nd Year Webelos can also participate in the Boy Scout Skills Round Robin Program. Their session will be thematically arranged so that on each day of programming they will sample sets of Scout Skills in a "show and do" format. 2nd Year Webelos may also choose to do individual activity badges instead of the Boy Scout Skills Round Robin Program. Note that when they choose the Boy Scout Skills Round Robin Program they CANNOT also do the 1st year activity badges.
Does my entire Pack/Den have to arrive at the same time?
Packs get assigned camp sites and activity groups by who is present at check-in. If you want to camp together, check-in together. This will help keep activity size consistent. If part of the pack/den arrives the next day, they may be assigned to different campsites and different activity groups.
What do I do with the medical form?
Make copies and hang on to it. You will need to present a completed medical form for each Scout, sibling and adult when you check in at camp. Any medical forms mailed to the Scout Office will be returned to you.
Do we bring tents? Is bedding provided?
Wall tents on wooden platforms are provided and each tent contains 2 cots with mattresses. You will need to provide sheets, sleeping bags and pillows.
My Scout can't go. Can I get a refund?
All refund requests must be submitted in writing to the Scout Office NO LATER THAN 10 days BEFORE your scheduled arrival at camp. No refunds will be considered after the 10 day mark. Any refund given will be less a $25 cancellation fee per person.
100% refunds will only be considered for medical reasons if a doctor's note is provided.
Can we cook in our campsites?
No. All meals are served in a staffed dining hall setting.
Can we have a campfire in our campsites?
Only with advance approval from one of the Camp Directors and only in a designated areas. These arrangements should be made when you arrive at camp.
My Scout has just gone to Day Camp. What will my Scout encounter at Resident camp that will make it different from Day camp?
  • An overnight camping experience on a 1,200 acre reservation full of nature and wildlife with a whole new set of crafts, games and activities
  • A Cubworld setting full of exciting stations and activities such as a fort, castle and pirate ship.

Camp Leadership

The adult in charge of your Pack or Den must be at least 21 years of age and a registered adult leader or participating parent.

National Scouting policy requires two-deep leadership: two registered adult leaders or one registered adult and a parent of a participating Scout, one of whom must be at least 21 years of age or older, are required for all trips or outings.

It is not required that each Scout have a parent/guardian attend. Webelos Resident Camp allows the following ratio of leadership to Scouts: for each group of 1-8 Scouts, there must be at least 2 leaders.

Each pack/den should provide the required adult leaders for the number of Webelos Scouts attending camp. All adult leaders are responsible for the discipline and behavior of their Webelos Scouts.

Letter to employer

If you like, the Middle Tennessee Council stands ready to send a letter to your employer or company telling them your leadership in Cub Camping is important in the lives of the boys. You may request this letter by calling the Camping Department at 615-383-9724.

Leaders' Meetings

A leaders' meeting will be held at 4:00 PM on arrival day. There may also be daily meetings at times to be announced at camp. Do not leave your pack or den unless you are sure that there is proper supervision. If you cannot make the meeting, send a representative. This meeting will be to review any announcements and/or possible changes. The Leaders' Orientation Meeting is held on your arrival day at 4:00 PM to review the session's schedule & plans.

Trading Post

The Trading Post will be open during key hours of the day which will be posted outside the trading post. It will be well-stocked with Scout supplies, cold soft drinks, cold water, ice cream, snacks and fun items for the boys.

Most boys will find their way to the trading post several times during their stay at camp. We hope that our post will enhance the stay of boys to make for a very enjoyable camp experience.

We recommend that each pack establish a banking system with an adult banker to help safeguard the money that boys bring to camp. We also accept Visa, Mastercard, American Express and Discover.

Please stop by the trading post when visiting camp to see the variety of items that we stock.

Lost and Found

Lost and found is located in the camp headquarters. Ask the Program Director for assistance in the event of a lost item.

General Cleanliness

Let's be clean in everything we do. Hot showers are available for Scouts and Leaders. Help us keep camp, latrines and shower houses clean. Trash barrels are in each campsite and throughout camp. Please remember to leave camp cleaner than you found it.

Visitors

The closing campfire for each session (Wednesday evening) will be a family event. We encourage all family members to visit Boxwell Scout Reservation at this time to spend the evening with their Scout(s). Dinner will be served for all registered campers. Any family member that desires to have dinner with a Scout MUST phone in a reservation to the Camping Department at 383-9724 or e-mail at camping@mtcbsa.org. The $4.00 fee for a visitor's meal is payable that evening at dinner. Visitors need to arrive between 5:00-5:15 PM to have dinner with Scout(s) assigned to Meal A or between 6:00 - 6:15 PM if their Scout(s) are assigned to Meal B. Please check with your unit leader for specific meal time.

Leaving Camp

NO ONE may leave camp property without checking out with one of the Camp Directors or the Camp Commissioner. A sign-out/in sheet will be provided.

Siblings

A fee of $25.00 is charged per sibling and adult. Everyone attending must have a health form.

Camp Planning Meeting

A Camp planning meeting will be held on May 28, 2008 at 7:00 PM in the Scout Service Center in Nashville for leaders of units attending any of the four camp sessions. It is important that a leader or a parent that is attending camp with the boy(s) attend this meeting. Any changes that need to be made known will be announced on this date.

Meal Time

Prior to each meal, campers assemble at the dining hall grounds. Seating will be by campsite. A rest period follows lunch. Class A uniforms should be worn for all evening meals.

Dining Hall

  1. Meals are served in our indoor, air-conditioned facilities. The dining hall will be set up to serve the number needed for each serving period.
  2. The maximum number allowed by the fire code will determine the number of tables and chairs allowed for each serving period - no one at ends of tables.
  3. Scouts will be allowed to refuse items and request additional portions as they walk through the line.
  4. Scout leaders will be asked to serve as monitors of the serving line.
  5. This monitor (Scout leader) will ensure that their Scouts are eating properly.

Procedure:

  1. On arrival day visit the dining hall. Table assignments will be made.
  2. Each table will appoint 1 clean-up monitor team per meal (1 Scout & 1 Adult.)
  3. At serving time, Scouts will enter dining hall and take a seat at their assigned tables.
  4. Hats off in dining hall
  5. After everyone has been seated, we will make announcements and say grace.
  6. Approximately 15 minutes prior to the end of the meal period, everyone will be encouraged to participate in the program (songs or skits).
  7. Following the program, everyone will be dismissed except the table monitor team. At this time the clean-up window will open and monitors may return trays and clean tables. Please do not take any items to the clean-up window until the window has been opened after the program.

Vehicles In Camp

All parking must be confined to designated parking lots. No trailers will be allowed in campsites. Your camping equipment will be taken to your campsite by our Reservation vehicle. Only camp vehicles and delivery trucks will be permitted past the parking areas. The speed limit is 24 miles per hour. No one under 18 will be allowed to drive on the reservation. Boxwell Scout Reservation takes the safety of each camper most seriously and pledges to do the utmost to see that they have a safe and enjoyable environment to pursue the great ideals of Scouting. It is PROHIBITED to drive a truck or trailer on camp property with youths or adults unrestrained in the back or on the sides. This means NO RIDING IN TRUCK BEDS!

Deposits

A $25.00 Early Bird deposit per Scout is due by March 28, 2008 to reserve a participation slot. Each Scout will receive a participation patch as part of their fee.

A special Early Bird patch will be awarded to those Scouts submitting their deposit prior to March 28, 2008. Any deposits received by mail that are POSTMARKED ON OR BEFORE March 28th will be eligible to receive the Early Bird Patch.

If deposit has been paid, the remaining balance of $53.00 per Scout should be paid by June 2. If payment is made AFTER June 2 the balance due is $73.00 per Scout.

Insurance

Each pack in the Middle Tennessee Council is covered by supplemental accident and sickness insurance. This will insure them at camp as well as at all other Scouting activities. Benefits are to cover deductibles or co-pays. Please submit a copy of your primary insurance card with the physical form for each Scout, adult and sibling attending camp. If a boy is not covered under other insurance, please submit a signed statement from the parent stating this.

*Note: The Middle Tennessee Council does NOT insure packs visiting from outside the Council. Packs must have insurance either through their pack or through their home Council. Please send proof of insurance along with your initial Webelos Resident Camp registration.

Refund Policy

Middle Tennessee Council will refund all but a $25.00 cancellation fee per Scout for those who turn in the Refund Form to the Middle Tennessee Council Service Center no later than 10 days prior to arrival at Webelos Resident Camp. Any requests made after this date will not be considered.

Fees are transferable to other Scouts, but it is up to the canceling individual to arrange for payment reimbursement from the replacement Scout. The Middle Tennessee Council Service Center must be informed of any fees that are transferred at least 10 days prior to arrival at Webelos Resident Camp. Fees CANNOT be transferred at check-in. To receive a refund you must use the Council refund request form.

Webelos Resident Camp Camperships

Middle Tennessee Council offers Webelos Resident Camp camperships for Scouts who would not be able to attend camp due to financial difficulties. Campership amounts will be granted based on the financial need of each applicant. Camperships are not transferable if the Scout cannot attend Resident camp.

*Note: A Webelos Resident Camp application must be turned in separately to reserve the Scout's space in that session. Turning in a campership application without a camp application will not guarantee the Scout a space at camp.

Applications for these camperships are available at the Middle Tennessee Council Scout Service Center or by clicking here. These forms are due no later than April 4, 2008. Webelos leaders will be notified of campership approvals by May 16, 2008.

All Scouts who submit a Webelos Resident Camp campership application should pay a portion of their fee. Scouting teaches a Scout to be thrifty. Partial scholarships enable more boys to attend Resident Camp.

All partial payments for camperships must be paid in full by June 1 to the Middle Tennessee Council Scout Service Center or the regular fee described under the Resident Camp Fee Schedule will be assessed.

Webelos Resident Camp Forms

Volunteer for Adult Camp Staff

Does your pack have some extra adults who need something special to do at camp? Maybe you can provide some VOLUNTEER ADULT STAFF MEMBERS this summer. Talk to the adults who work with your unit. See if anyone wants to teach their favorite skill at camp to boys from your den/pack and other dens/packs.

Use this form to let the Program Director know what they would like to teach and when. Fill this form out and send it to Carl Adkins at the Scout Office as soon as possible. We will re-confirm your volunteer staff plans at camp, and announce this to all Scouts, parents, and leaders that will be at camp that week.

Adults from your group may also want to help out at camp in other ways. We always need help with plumbing and electrical work, carpentry, and other camp maintenance. Use the form to tell us about it. If there are questions, we will get back in touch with you.

Remember that your den/pack needs at least one adult with your Scouts at all times. If someone from your den/pack volunteers to teach classes or do other work away from your campsite, you may need extra adults to make sure you have sufficient leaders at all times for your den/pack.
